Who is responsible for your data

Photo-Video London (Ivan Siyanko) is the data controller for personal data collected through this website and in the course of providing photography and videography services. You can reach us at hello@photo-video.london for any question about this policy or about data we hold.

What we collect and why

When you make an enquiry

The contact form collects your name, email address, and whatever you choose to tell us about your shoot — typically the date, location, and type of work. We use this solely to reply to you, quote for the work, and if you book, to deliver it. The lawful basis is legitimate interest before a contract, and performance of a contract once you book.

When you book a shoot

To carry out a booking we hold contact details, shoot dates and locations, invoicing details, and any brief or shot list you supply. Where a booking involves a venue or third party, we may share the minimum necessary details with them (for example, your name and shoot time with a venue’s front desk).

Photographs and video

Photographs and video of identifiable people are personal data. Files from your shoot are processed to produce the edited deliverables you have commissioned. Whether any image may be used in a portfolio, on social media, or in marketing is agreed separately in your booking terms — we do not publish images of clients or guests without that agreement, and you can withdraw it at any time by emailing us.

When you visit this website

The site uses no advertising or profiling cookies. The web host records standard server log data, including IP address, browser type and pages requested, for security and to keep the site running. Where analytics are used, they are configured to measure aggregate traffic rather than to identify individuals.

How long we keep it

  • Enquiries that don’t become bookings: up to 12 months, then deleted.
  • Booking and client records: retained while the work is live and for 6 years afterwards, to meet UK tax and accounting requirements.
  • Image and video files: working files are kept for 12 months after delivery so reprints and re-edits are possible; archive copies of delivered galleries may be kept longer, and can be deleted on request.
  • Server logs: retained by the hosting provider on a short rolling basis.

Who we share it with

We do not sell personal data and we do not share it for advertising. Data is shared only with service providers who help run the business, and only as far as needed:

  • The website host, which stores site data and server logs
  • Email and cloud storage providers used to correspond with you and deliver galleries
  • Accounting software and, where relevant, HMRC for tax purposes
  • A second shooter or editor working on your booking, where one is engaged

Where a provider stores data outside the UK or EEA, transfers rely on adequacy decisions or standard contractual clauses.

Your rights

Under UK GDPR you have the right to:

  • Ask what personal data we hold about you and get a copy
  • Have inaccurate data corrected
  • Ask for data to be deleted, where we have no ongoing legal reason to keep it
  • Object to or ask us to restrict how we use it
  • Ask for a portable copy of data you provided to us
  • Withdraw consent where processing relies on consent, including consent to publish images

Complaints

If you are unhappy with how your data has been handled, please contact us first so we can put it right. You also have the right to complain to the UK’s supervisory authority, the Information Commissioner’s Office, at ico.org.uk or on 0303 123 1113.

Drone operations

Aerial work is carried out under a CAA Operational Authorisation. Flights are planned to avoid capturing identifiable people or private property beyond what the commission requires, and incidental footage of uninvolved people is removed in the edit rather than retained.

Changes to this policy

If this policy changes, the updated version will be posted here with a new revision date. Material changes affecting existing clients will be notified by email.

Frequently asked questions

Do you use my photos in your portfolio without asking?

No. Whether any image from your shoot can appear in a portfolio, on social media or in marketing is agreed separately in your booking terms. If you'd rather we didn't, that's fine and it doesn't change the price. You can also withdraw permission later by emailing hello@photo-video.london.

How long do you keep the files from my shoot?

Working files are kept for 12 months after delivery so reprints and re-edits are possible. Archive copies of delivered galleries may be kept longer. You can ask us to delete everything at any point and we will, subject to the accounting records we're legally required to retain.

Does this website track me?

There are no advertising or profiling cookies on this site. The host keeps standard server logs for security, and any analytics are set up to measure aggregate traffic rather than identify individuals.

How do I get a copy of the data you hold about me?

Email hello@photo-video.london and ask. We'll respond within one month, as UK GDPR requires. The same address works for corrections, deletions, or any other request about your data.

What happens to footage of people who weren't part of the shoot?
